INTRODUCTION

HEARTS FOR HUE is a local NGO in Hue city, Vietnam, working to improve the quality of life of Hue’s boat resettled people in the areas of health, education, sanitation, environment and hygiene awareness and household economic development. Assisting children and families are a particular focus for Hearts for Hue.

HEARTS FOR HUE relies to an important extent on the unpaid work of volunteers and values their contribution highly.

HEARTS FOR HUE would like to welcome all kind of national or international volunteers

The collaboration and work of these volunteers may include many different activities, including but not limited to office work, physical works such, among others, building shelters for animals, building fences, helping people who suffer disabilities, or helping children education by practicing the English language

PURPOSE

This policy is intended to ensure that volunteers working at HEARTS FOR HUE can develop its volunteer work in a nice and friendly atmosphere and carry out a work that is significant, fulfilling, and appreciated.

POLICY

All volunteers shall be treated with respect and gratitude for their contribution.

All volunteers, whether temporary, part-time or full-time shall be treated equally and respectfully.

Volunteers shall carry out the duties assigned by the management of HEARTS FOR HUE.

All volunteers shall be offered appropriate information and, when available, training to discharge their functions.

Volunteers will perform the assigned tasks in the best possible and appropriate way and will be guided in their behavior by HEARTS FOR HUE’s policies and in the absence of a specific policy by the principles that inspire NGO’s activity

RECRUITMENT

Volunteers shall fill out a Volunteer Application Form and undergo a screening process that may include, but not limited to, a police check, a working with children check, proof of identity, qualifications or certifications, work history and relevant medical history.

Recruitment of volunteers shall also take into account HEARTS FOR HUE’s commitment to cultural diversity.

COSTS

Volunteers shall bear the cost of travel to the city of Hue, as well as cost of lodging and meals during their stay in Hue.

Volunteers shall arrange their insurance coverage at their own cost

Works will be carried out or services will be rendered at the place designated by HEARTS FOR HUE

If such places were not located within the city of Hue, HEARTS FOR HUE will provide, whenever possible, a means of transport.

 

RESPONSIBILITIES

It is the responsibility of the CEO of HEARTS FOR HUE to appoint a Volunteer Coordinator.

The Volunteer Coordinator shall be responsible for organizing the recruitment and supervision of volunteers. The Volunteer Coordinator shall report to the CEO.

The Volunteer Coordinator shall monitor the work of the volunteers and shall ensure that each volunteer is capable of fulfilling the assigned work adequately.

Volunteers will address to the Volunteer Coordinator all the questions and complaints that they may have related to their work and volunteer’s status. The Volunteer Coordinator will give a prompt response to the matters submitted to him

 

INSURANCE

Volunteers are requested to contract on their own health, accident, injury and other risks insurance covers.

It is volunteers’ responsibility to ensure that the insurance cover volunteers purchase is adequate for volunteers’ needs.

It is advisable to carry with you at all times proof of insurance

In the case of occurrence of any claim under the insurance policy, HEARTS FOR HUE will assist the volunteer in contacting and coordinating with the insurance company

 

VISA, PASSPORT AND TRAVEL DOCUMENTATION

Volunteers are requested to check with the Vietnam Embassy or Consulate for the appropriate travel requirements and documentation. It is volunteers’ responsibility to ensure that they have the correct passport and visas for your travel arrangements.

 

HEALTH AND MEDICAL MATTERS

HEARTS FOR HUE is unable to offer or provide any advice on any health or medical matters. It is volunteers’ responsibility to obtain proper and detailed medical advice prior to volunteering for HEARTS FOR HUE.

 

 

 

LAWS AND CUSTOMS

Laws and customs of Vietnam can be very different from those in volunteers’ home country. Volunteers are kindly requested to be aware of their actions to ensure that they do not commit any offenses. There may be serious penalties for doing something that might not be considered illegal in your countries of origin or residence. It is the volunteers’ responsibility to familiarize themselves with, and respect, local laws, and customs. If you fail to do so, we will have no liability to you for any cost, loss or damage which you suffer.

 

CERTAIN RULES TO BE OBSERVED BY VOLUNTEERS

volunteers should:

  • Follow the advice or instructions of the Volunteer Coordinator or other representatives of HEARTS FOR HUE
  • Agree to a zero-tolerance policy towards the possession and use of illegal substances. If you are found in possession of, or under the influence of such substances, you will have to stop volunteering for us immediately
  • Respect the culture of Vietnam and be tolerant of the customs and behaviors of the local people
  • Not to consume alcoholic beverages during the work hours
  • Treat all people with dignity and respect
  • Dress appropriately always with regard to the culture you are surrounded by
  • Abide by all the rules of the project at which you are volunteering and respect other members of your group including staff
  • Inform the Volunteer Coordinator if you are at any time unable to fulfil the duties to which you have committed to
